Accounting & Office Clerk (Newark)

Agilents is currently seeking a Accounting & Office Clerk for our corporate office in Newark NJ. This person would ideally be working full time covering a maternity leave, then drop down to approximately 24-32 hours per week after September. A great opportunity for students who are looking for full time employment during the summer and part time work once school starts up again in the fall.

Job Description

• Compile, sort, and copy documents, such as check remittances and wire transfer advice documents to substantiate business transactions
• To post details of business payment transactions against appropriate customer accounts
• Create and distribute any assigned daily system reports to appropriate company personnel
• Research and solve payment discrepancies and make adjustments to accounts as needed
• Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers
• Maintain and update filing, scanning, mailing, and database systems, either manually or using a computer
• Compile, copy, sort, and file records of office activities, business transactions, and other activities.
• Compute, record, and proofread data and other information, such as records or reports.
• Type, format, proofread, and edit correspondence and other documents, from notes or dictating machines, using computers or typewriters
• Review files, records, update excel sheets, and other documents to obtain information to respond to requests
• Perform other duties as assigned

Qualifications

• Knowledge of administrative and clerical procedures and systems such as word processing, 10-Key, managing files and records, transcription, and other office procedures and terminology
• Computer Skills related to creation of reports and presentations in MS Word, MS Excel, MS PowerPoint, ACT!

Accounts Payable Duties
Maintain filing system of accounts payable vendor and other financial records
Communicates frequently with staff and external vendors both verbally and in writing on matters relating to accounts payable transactions
Ensure timely and accurate remittance of vendor invoices by opening vendor mail on a timely basis
Prepare batches of invoices and expense reports for data entry
Process weekly check runs
Gather W9s as needed and assist with end of year 1099 processing and filing

Billing / AR
Generate project and hourly fee invoices
Works closely with project teams to achieve billing and collection goals.
Maintain and monitor accounts receivable aging, collection reports, and customer master file
Speak with clients concerning billing issues (when needed)
Take care of making daily bank deposits
Maintains Excel cash log
Send out statements monthly

Maintain filing systems of accounts payable vendor files, accounts receivable and
other financial records

Hours: 9:30am -- 5:30pm Monday thru Friday

General Accounting Analyst (New York, NY)

The Associated Press is seeking a General Accounting Analyst for its New York headquarters.

Under the primary direction of the Accounting Manager, the successful candidate will perform balance sheet account reconciliations including but not limited to cash, receivable, accrued expense, prepaid, and other accounts at the discretion and direction of the Accounting Manager. The candidate will also prepare and post journal entries, perform basic P&L variance analysis and run closing reports during the monthly closing process.

The successful candidate is expected to have a basic understanding of accrual accounting, debits, credits and the main accounting cycles and a familiarity with the basics of US GAAP. The person in this position is expected to use their analytical skills in evaluating the results of reconciliations and analyses and be able to resolve issues with responsible parties both inside and outside the General Accounting area with some assistance.

Job responsibilities may include but are not limited to the following:
? Performing a variety of balance sheet account reconciliations and analyses accurately and timely
? Be able to perform basic P&L variance analyses during the month end close
? Be able to identify and propose solution on account analysis issues, errors, and reconciling items
? Liaison between departments and worldwide offices
? Financial statements preparation

REQUIREMENTS:
? Bachelor Degree in Accounting with 2+ years of general accounting experience required
? CPA or CPA candidate preferred
? Knowledge of accrual accounting and transaction cycles (i.e. billing, payables, fixed assets and general accounting) is required
? Must be detail orientated and be able to prioritize duties with some guidance
? Must be self-motivated and able to work both independently and on a team.
? Must like a challenge and have a desire to exceed expectations
? Must be able to take initiative, learn quickly and to be team player
? Must be able to work efficiently, effectively and with a positive attitude in a demanding, fast-paced, and rapidly evolving environment
? Strong communication skills (oral and written), organizational and time management skills required
? Proficiency in Excel is required and advanced excel skills (pivot tables, macros) a plus
