The Marketing/Office Support Specialist supports Nelson\Nygaard's four East Coast offices in the areas of Proposal Coordination, Business Development, Creative Services and Administration. The successful candidate must possess high levels of confidence, initiative, intuition and a strong ability to coordinate efforts and form consensus between corporate headquarters (San Francisco, CA) and satellite office employees. The position will either be located in Boston, MA or New York, NY, with frequent travel required. Upon acceptance of the position, candidate must be willing to come to San Francisco, CA for an extended training period (of up to one month).

Responsibilities:

Proposal Coordination/Business Development Support -- approximately 65%
Overseeing proposal preparation including:
? Search for RFPs and other business opportunities
? Review RFPs to facilitate preparation of proposal outline/checklist
? Confer with the Proposal Manager to identify work assignments
? Prepare loaded proposal template based on the RFP
? Write proposal cover letters
? Write "cameos" of N\N team members describing their skills and role(s)
? Prepare all required proposal forms
? Prepare Budget and Timeline templates in MS Excel
? Coordinate directly with Prime or Subconsultants regarding the submission of proposal materials, if needed
? Prepare draft schedule/budget for standard proposals
? Prepare draft PowerPoint presentations and graphic leave-behinds for proposal interviews
? Perform other related marketing activities as required, including preparation of marketing packages, reference letters, etc.
? Ensure all information in the company's project database is up-to-date

Creative Services Liaison -- approximately 25%
Work with N\N's Creative Services Department to ensure that all reports and proposals are properly prepared, fully reviewed and delivered to the client in a timely manner.
? Initiate schedule coordination of deliverables between satellite office and Creative Services
? Confirm appropriate MSWord/InDesign template to use or initiate creation process
? Confirm GIS mapping needs and coordinate production with creative staff
? Proactively keep project managers on target with timelines and quality
? Quality Assurance review of all deliverables, including copy editing

Administrative Support/Training -- approximately 10%
? Orient and train new employees
? Answer phones, greet visitors
? Meeting scheduler -- administer Outlook calendar
? Supply ordering -- monitor paper, ink, kitchen supplies, etc.
? Rolodex management
? Mailing/shipping
? Travel arrangements
? Filing
? Building maintenance issues
? Food ordering
? Special projects
? Other duties as assigned

Qualifications:
The ideal candidate should have a college degree plus three years of work experience or seven years of applicable work experience. Experience working at a public agency or private consulting firm is preferred but not a requirement. The candidate must demonstrate the following:
? Proficiency in Microsoft Office Suite, especially Word, Excel and PowerPoint
? Ability to work with diverse professional workforce
? Strong written and verbal communication
? Proven ability to set priorities and work independently
? Excellent multi-tasking capabilities
? Flexibility to travel between NN offices and availability to travel on short notice
? Experience with RFP process and proposal production
? InDesign knowledge desirable
? Professional writing/editing experience preferred

Salary and Benefits:

All employees are paid an hourly rate. The annual salary range equivalent for the position is $55,000 to $65,000, depending on qualifications. Benefits include fully paid health and dental insurance, 401K, periodic bonuses and Paid Time Off (PTO).
