Responsibilities include:
? Hours: 8am -- 5pm or 9am -- 6pm
? Answer phones and transfer calls to appropriate person (or assistant)
? Greet all guests, including carrying on casual conversation, hanging coats, offering drinks and showing them to the appropriate conference room or office
? Input all office guests into daily guest log
? Work closely with office personnel to ensure all calendars for conference rooms are updated
? Monitor cleanliness of conference rooms
? Input and confirm security clearance for all visitors
? Manage and order office supplies as needed
? Place food and beverage orders on a weekly basis for general items kept in stock in kitchens
? Distribute lunches to office employees
? Update Seamless Web reports and credit card purchases for daily lunch orders
? Maintain daily logs for incoming and outgoing packages
? Monitor magazine subscriptions to ensure on-time renewal and appropriate charges for each subscription
? Prepare outgoing packages (including USPS, FedEx, DHL, etc)
? Sort and distribute mail
? Open and file daily and monthly trade confirmations
? Administrative support as requested by office staff
