EXECUTIVE ASSISTANT: Oyster Bay/ Brooklyn Office; We are looking for a high-level, extremely polished, professional demeanor, fashionable, a great speaking voice, an award winning positive personality, for an experienced top-level executive.
Responsibilities:
- Answer phones and direct all incoming calls to appropriate party promptly and efficiently.
- Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.
- Communicate and handle incoming and outgoing electronic communications including preparation and editing of correspondence, communications, presentations and other documents.
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
- Arrange travel schedule and reservations for executive management as needed.
- Taking minutes during various executive meetings as required.
- Additional projects may arise.
- Coordinate shipments and deliveries.
- Updating Facebook and Twitter feeds for company as well as specific executives, monitoring pages and addressing any questions and messages.
- Monitoring company based inquiry website, ensuring all questions are answered promptly, correctly and completely.
- Conduct research, assemble and analyze data to prepare reports and documents.
- Microsoft Windows proficiency, especially Word and Excel. RetailPro, WorldShip a plus.
- May include evening and weekend hours.
