Office Administrator (Manhattan)

More infoMid size digital communication firm seeks an office administrator. The office administrator provides reception and office administration services and executive assistant services to the CEO. This role requires exceptional phone demeanor and organizational skills, proven time management skills, attention to detail, ability to prioritize multiple requests and projects, and an ability to complete all tasks and projects in an efficient manner.

Main responsibilities:

- Provide reception services including phone coverage (checking voicemail), greeting all visitors and collecting and distributing mail
- Oversee cleanliness and organization of entire office, including kitchen and production rooms
- Order, stock and organize supplies
- Manage all office vendor relationships, such as WB Mason, FedEx, and others as well as help to negotiate lower rates and track spending/budgets with each vendor
- Order and help maintain furniture, equipment and de´cor
- Facilities management including working with building management group and other vendors for facilities maintenance
- Deal with any and all facilities emergencies
- Maintain all office machines
- Manage phone and voicemail system
- Assist with office adds/moves/changes as needed
